PARTIAL PLANNING

Pre-Wedding

  • Contact all vendors hired by client 4 weeks prior to wedding date to confirm arrival/departure times, as well as distributing timeline and layout

  • Final Planning Meeting 60 days prior to event to develop detailed day of timeline, floor plan, and rain plan for event. 

  • Follow up with any vendors on changes to the timeline or layout

  • Collection of finalized timeline, layouts and guest counts 4 weeks prior to event date (based on catering and venue timelines) 

  • Confirmation of transportation for wedding party and immediate family for wedding day

  • Planner to meet with couple 30 minutes prior to scheduled rehearsal to collect personal decor, marriage license etc.

  • Coordination of 1 hour of rehearsal time prior to event date at selected venue (based on venue availability) 

 

​The Wedding Day

  • Timely set-up of décor prior to wedding party arrival (All decor should be discussed and approved by the planner at the final planning meeting. 

  •  Examples include: Sign in table, gift table, favor table, escort cards, cake table, kids table, memory table, photos and candles throughout the venue. Must not exceed 2 hours.) Venue restrictions may apply 

  • Pinning of boutonnieres, bouquets and ensuring VIP’s receive flowers

  • Overseeing set up of ceremony and reception sites

  • Oversee all hired vendor production

  • Coordination of all vendors throughout ceremony, cocktail hour, and reception to ensure the agreed upon timeline is executed as planned 

  • Ensuring that the designated attendants have the wedding rings

  • Directing the wedding party and family for photographs 

  • Bustling of the bride’s gown accordingly (if applicable of course!)

  • Distribution the final payment and gratuities to vendors on event day (if needed) 

  • Organization of exit and distribution of toss items to guests

  • Arranging for the boxing of the remaining wedding dessert

  • Arranging of personal belongings to be placed according

  • Assistance with loading gifts, decorations, and other personal items in vehicle of designated family contact 

  • One assistant for guest counts up to 150 people on event day.
